General terms and conditions
Scope
The General Terms and Conditions (GTC), which are listed individually and in detail below, regulate the legal relationships between the Lilli Friedemann Foundation (operator of the exploratorium berlin) and its customers.
- Course or workshop participants with individual and group registrations (GTC event registration),
- Guests/visitors of concerts or discussion formats (GTC ticket reservation) and
- Tenants (GTC rental).
The GTC apply to natural persons, companies, commercially acting persons and legal entities under private and public law, companies as well as groups (and their authorized representatives) of educational institutions (school, after-school care, kindergarten, daycare groups) and groups of other educational institutions.

Scope
- The following Terms and Conditions for Event Registration apply to all individual and group registrations with fixed or individually agreed dates for courses, seminars and workshops for children, young people and adults (hereinafter referred to as “event”) offered by the exploratorium berlin.
Note onorganizational processing
There are events that are organized directly by the exploratorium berlin and others that are organized by the lecturers.
Registrations that are received by the lecturers cannot be viewed by the exploratorium berlin; therefore, no information can be provided. This particularly applies to information about the payment status and the number of participants.
Registrations
I. Offers with a fixed date- Registrations are generally only accepted online using the registration form, which is located at the bottom of the respective event page. If there is no form, there may be various reasons for this:
- The form was deactivated due to the number of participants reached;
- there is a registration link in the text that leads to external organizers;
- registration is not necessary.
- Participation places are allocated in the order of valid (paid) registrations. Exception: If courses are offered in several phases, registrations for the entire course have priority.
- After submitting the registration form, you will receive an automatically generated email for your own verification purposes, which contains the information you have provided (name, course title and date).
- Within 1-2 working days, you will receive a confirmation of receipt of your registration as well as a payment request with the relevant account details for the participation fee with a payment deadline – unless otherwise stated – of one week from the registration date.
- As soon as the maximum number of participants is reached, the corresponding registration form will be deactivated so that no further registrations are possible.
- If there are still places available, registrations will also be accepted at short notice and after the registration deadline.
II. Offers with individual dates (dates by arrangement)
- For school class offers, training courses and other group offers with individual dates, an inquiry can be made using the registration form which are usually answered within 2-4 working days.
- For the group offer, the course start or date, the group course fee and the payment terms (cash or invoice) are agreed individually and in writing by the responsible persons on both sides.
- After both parties have confirmed this (informal) contract, our cancellation conditions apply.
- The payment deadline is agreed separately and can be found in the payment request.
Discount
- The prices according to the respective event website apply.
- All other costs associated with participation in an event, in particular accommodation, food and travel costs, must be borne by the participants themselves.
- Many events also offer a discounted price in addition to the normal price. This applies to people who are not employed, for example schoolchildren, students, the unemployed and pensioners.
- In addition, there is the possibility of applying for additional subsidized participation places for (children/young people of) Berlinpass holders, even if the reduced price is not affordable. To do so, please contact the foundation’s board of directors on (030) 84 72 10 11 (Matthias Schwabe).
Payment
- The participants or their authorized representatives undertake to pay the participation fees on time. Unless otherwise agreed, payment must be made within eight days of receiving the payment request.
- The obligation to pay also applies if the event is not attended or only partially attended despite a binding registration. Only temporary participation does not entitle the participant to a price reduction.
- Places for which payment has not been made on time can be allocated to other participants without further payment requests or reminders.
- For regular courses, the course management usually also offers payment in installments.
- Short-term payments must be proven by a digitally sent bank transfer receipt.

After submitting the form, you will be redirected to a page with detailed account or transfer information. At the same time, after submitting the form, you will receive an automatically generated email with the data you entered (name, course title and date). The registration is only valid once the exploratorium berlin has confirmed your registration. In the event of an overbooking, the amount paid will be refunded immediately and in full.
Organizational course information
- Approximately one week before the start of the workshop, all participants will receive detailed organizational information from the respective lecturers.
Withdrawal by the exploratorium berlin
- The realization of an event depends on a minimum number of participants.
- The exploratorium berlin asks for your understanding that we reserve the right to cancel events, for example due to insufficient number of participants, if lecturers are absent, due to changes in course times and force majeure.
- A written cancellation of a course due to insufficient participation will only be made after the respective registration deadline. The registration deadline is usually two weeks before the course begins.
- With regard to the content and course of the individual courses and the participation of speakers, the exploratorium berlin reserves the right to make objectively necessary and reasonable changes, provided that the overall character of the event is preserved. In any case, we will endeavor to inform you of cancellations or necessary changes, in particular of a change of lecturer, as soon as possible. These notifications are made both by email and via our website.
- If a course is canceled, fees already paid will be refunded immediately in full, or pro rata in the case of canceled courses. Further claims, e.g. for damages or reimbursement of wasted expenses, are excluded.
Withdrawal by participants from individual and group offers
- Cancellations must be made in writing and confirmed by the exploratorium berlin.
- If an individual or group registration is cancelled, the following participation or group course fees will be charged:
- before the registration deadline or up to two weeks before the start of the course: 0%;
- less than 2 weeks to 24 hours before the start of the course: 50% of the course fee, unless a replacement participant is provided;
- less than 24 hours before the start of the course and/or in the event of non-appearance: 100% of the course fee, unless a replacement participant is provided provided.
- We recommend taking out “workshop/course insurance”, especially if travel and accommodation are associated with participation in a course.
Data collection and processing
- Customers agree that the data entered in the form during registration or provided in an email will be collected and processed by exploratorium berlin.
- This data will not be passed on to third parties unless there is a legal obligation to do so.
Correspondence
Our communication is increasingly via email. In order to ensure a timely flow of information, exploratorium berlin assumes that – if you have provided us with your email address – emails will be checked regularly.
Liability
- Liability claims against the exploratorium berlin or the Lilli Friedemann Foundation can only be asserted in the event of negligent conduct (breach of the duty of care) on the part of the exploratorium berlin.
- The exploratorium berlin accepts no liability for the loss or damage of objects or clothing brought along. The course participants are not insured against accidents by the organizer during their stay in the event rooms.
- Participants who cause damage to buildings, grounds and inventory will be held liable for damages within the framework of the statutory provisions (including legal representatives).

Reservation, provision, payment
- The T&C ticket reservation is triggered by filling out and submitting the reservation form on the respective event page. You will receive a reservation confirmation within 1-3 working days.
- Payment is usually made in cash at the box office, which typically opens no later than half an hour before the start of the event.
- In special cases, tickets are only offered in advance. In this case, you will receive a request for payment with a deadline.
- Reserved tickets remain reserved for up to 15 minutes – in exceptional cases up to 30 minutes, this is marked accordingly on the respective form – before the start of the event and, if they have not been picked up at the box office by this time, go back on general sale.
- The reservation form on the event page is no longer available if the concert is sold out and the ticket quota is exhausted.
Prices, discounts

In general, we offer discounts for the following target groups:- Normal price
- Reduced price (for schoolchildren, students, unemployed people and pensioners)
- Social ticket/proof of entitlement Ticket-S (formerly berlinpass)
Cancellation of ticket purchase
- The purchase of tickets via advance booking & payment cannot be cancelled by the purchaser. The legislator has decided to exclude tickets that have already been paid for from the general right of cancellation, as these are tied to a specific date and the organisers would otherwise have no planning security for their events.
- Tickets that have already been paid for can be resold privately.
Program changes, force majeure
- The exploratorium berlin asks for your understanding that we must reserve the right to cancel or change events in the event of artists being unable to attend or due to force majeure.
- The exploratorium berlin reserves the right to make objectively necessary and reasonable changes in these cases. with regard to the event content, sequence and participation of artists, as long as the overall character of the event is maintained.
- In any case, we will endeavor to inform you as early as possible about cancellations or necessary changes, in particular a change of artist. These notifications are made both by email and via our website.
Data collection and processing
- Customers & Customers agree that the data entered in the form or email as part of the general terms and conditions ticket reservation will be recorded and processed by exploratorium berlin.
- This data will not be passed on to third parties unless there is a legal obligation to do so.
Liability

Scope
- These General Terms and Conditions – Rentals of the Lilli Friedemann Foundation (operator of the event venue exploratorium berlin & hereinafter referred to as the lessor) apply to the rental of all rooms and ancillary rooms for the holding of events on the premises of the exploratorium berlin.
- The General Terms and Conditions apply to natural persons, companies, commercially acting persons and legal entities under private and public law as well as companies, hereinafter referred to as “tenants”.
- The contracting parties are the lessor and the tenants named in the contract, who also act as responsible organizers for the event to be held in the rented rooms.
Conclusion of the contractual relationship
- The rental takes place on the basis of a written e-mail room usage contract between the lessor and the Tenants, which is considered a binding contract through informal confirmation of the rental offer by the tenants.
- The room usage contract, as well as its addition/change or cancellation, generally require the written form of an email to be effective, which is valid without a signature. All documents are sent exclusively by email and must also be confirmed.
- The contract regulates the duration of the rental, the price and other relevant contractual conditions.
- A reservation option for certain dates cannot give rise to a claim to the later conclusion of a contract.
Subject of the contract, intended use
- The landlord rents to tenants the rooms, partial and ancillary rooms necessary for the implementation of the event, which are listed in the room usage contract and are referred to hereafter as the “rental object”.
- The rental object includes – a special feature of the exploratorium berlin – all large and small instruments located in the premises, which are available to all tenants free of charge. Furthermore, the landlord does not provide any services, personnel or material benefits related to the rental of the room, unless otherwise agreed.
- Tenants are not entitled to use the rented rooms to hold events at which right-wing extremist, racist or anti-democratic ideas or such content are presented and/or disseminated, whether by the tenant themselves or by visitors to the event.
- The rental object is only made available for a limited period of time within the contractually agreed period.
- Rooms or open spaces are made available on the basis of officially approved escape routes and with a fixed visitor capacity for the purpose of use specified by the tenant. If the permitted number of people (visitor capacity) is exceeded, tenants are liable for all damages resulting from this.
- The change in the intended use requires the prior written consent of the landlord.
- The free transfer or subletting of the rental property in whole or in part to third parties for a fee is not permitted.
- The tenants are aware that other events may take place in neighboring rooms at the same time as their event. Partial areas such as elevators, stairwells and foyers are also used by event guests from other events or restaurant guests (sanitary facilities).
Cancellation, withdrawal by tenants
If the event cannot be held for a reason for which the tenant is responsible and tenants withdraw from the contract, cancellation costs must be paid.
- Rebookings and/or cancellations up to 2 weeks before the start of the event are free of charge.
- If the cancellation is made less than 2 weeks before the start of the event, 50% and
- If the cancellation is made less than 3 days before the start of the event, 100% of the rent is due.
Any cancellation, termination or change must be made in writing and confirmed by the landlord.
Force majeure
- If the event cannot take place due to force majeure because the landlord cannot guarantee proper and trouble-free use of the rooms provided (e.g. fire, water damage, etc.), the contracting parties shall bear the costs incurred up to that point themselves.
- On the tenant’s side, the term “force majeure” does not under any circumstances include: an insufficient number of participants, the failure of individual artists or the failure of one or more participants to arrive on time.

Termination of the contract, cancellation of events by the landlord
The landlord can withdraw from the contract if essential contractual obligations are violated, in particular in the case of:
- Significant change in the intended use without consent
- Lack of or violation of official permits and approvals for the event
- Endangerment of public safety and order
If the landlord exercises their right of withdrawal, they retain the right to payment of the agreed fees, but must take into account any expenses saved.
Usage fee, additional costs, payment conditions
- The agreed prices are net prices, plus the applicable statutory VAT.
- The rent listed in the contract usually includes the rent incurred (heating, ventilation, air conditioning, general permanently installed house and room lighting) for the information known at the time the contract was drawn up on the basis of the rental request/reservation documents.
- Additional services such as: seating and dismantling, caretaker deployment, provision and operation of event technology equipment, as well as intermediate and special cleaning in the event of particular soiling, etc. must be agreed and paid for separately.
- The rent is paid exclusively by bank transfer after the invoice has been issued. The invoice is generally issued by the accounting department in the month following the (last) rental date. Unless otherwise agreed, payment must be made within ten days of receipt of the invoice without deduction.
- In the event of late payment, the landlord is entitled to charge default interest of 5 percentage points above the base interest rate.
Rental period, periods of use
- The rental period – from the start of use to the end of use – is specified in the rental agreement. A change to the rental period requires a written agreement between the contracting parties.
- All rooms used must be properly prepared and swept clean upon termination of the contract.
- Objects, structures, decorations, alterations, changed seating, etc. brought in during the rental period must be completely removed by the tenants at the agreed end of use and the original condition of the premises must be restored.
- The final cleaning and waste disposal is carried out by the landlord and is included in the rental price. If increased cleaning effort is necessary, tenants will bear these costs.
- If the rental object is not returned in a cleared condition on time, tenants must in any case pay compensation for use corresponding to the usage fee (5% of the agreed price for the room rental/daily rate).
- The right to assert further claims due to late return remains reserved.
Room instruction, handover
- After the room usage contract has been concluded, tenants are obliged to attend an instruction session on the premises, during which the tenants are familiarized with the local conditions, the terms of use and the proper use of the instruments on site.
- The instruction takes place in an on-site appointment by representatives of the landlord and the tenants. The latter must be present on site for the duration of the rental.
- If tenants discover defects or damage to the rental object or inventory at the start of use, these must be reported to the landlord immediately in writing.
- The tenants are responsible for ensuring that the areas of the event venue made available to them, including the facilities located therein and on it, are treated with care and kept in a clean condition. The rooms are handed over in a clean condition and the tenants must leave them in good condition after
Liability
- Liability claims against the lessor can only be made in the event of negligent behaviour (breach of duty of care) on the part of the lessor.
- The lessor shall not be liable for any damage or loss incurred by the lessee during the use of the rented premises or by the participants during the event (cloakroom, valuables, instruments, etc.).
- The hirer is liable for all damage caused by himself, his guests or participants (including legal guardians) during the event, including damage to the furniture and technical equipment provided.
